Best RFQ software in 2026: buyer tools vs seller tools

“RFQ software” covers two very different jobs. Buyers use it to send requests for quotation to suppliers. Sellers, such as distributors, need help with the RFQs their customers send them. Most comparison lists mix both. Start by picking your side.

Seller-side: software for the RFQs you receive

Distributors, wholesalers and MRO suppliers receive RFQs as PDFs, spreadsheets and emails. The work is not sending requests, it is answering them: retyping each line, finding the matching SKU and checking units before pricing. Buyer-side procurement suites don’t do this.

RFQ Inbox

RFQ Inbox extracts every line of an incoming RFQ, matches it to your own catalog with a score and the evidence behind it, and lets your team review before exporting a quote-ready CSV or XLSX to the ERP you already use. Nothing is invented: unknown fields are flagged and prices come only from your catalog.

  • Best for: industrial, electrical, MRO, bearing, fastener and electronic component distributors.
  • Pricing: Core $1,990/month, Business $4,990/month, a $499 paid pilot on your own RFQs. See pricing.
  • Not for: sending RFQs to suppliers, or writing long RFP responses.

Buyer-side: software to send RFQs to suppliers

These tools help purchasing teams create RFQs, invite suppliers, collect quotes and compare them, usually as part of a wider procurement suite with approvals and purchase orders.

  • Tradogram: Cloud procurement: purchase requests, approvals, purchase orders, RFQs/RFPs and sourcing.
  • Prokuria: Procurement platform with RFIs, RFPs and RFQs, reverse auctions and supplier management.
  • ProcurePort: Source-to-pay suite: RFP and RFQ events, e-auctions, contracts and spend analysis.
  • Acquirell: Procurement for SMBs: requirements, purchase orders and e-sourcing from RFQs to auctions.
  • Penny: Procure-to-pay: requests, quotations, purchase orders and payments in one system.
  • AuraVMS: Send quotation requests to suppliers by email or WhatsApp, then collect and compare quotes.
  • P3Source: Bid-and-buy RFQ workflow for the printing and marketing services industry.

If you only need one well-structured RFQ for a manufacturer, a full suite is overkill. RFQly turns a short product description into a structured, bilingual RFQ for suppliers.

RFP and RFI response software

An RFP asks for a proposal and an RFI asks for information, both usually as long questionnaires. Teams that answer many of them use response libraries such as Responsive (formerly RFPIO). This is a different problem from quoting catalog items line by line. Not sure which document you have? Read RFQ vs RFP and RFQ vs RFI, or our guide on how to respond to RFQs, RFPs and RFIs.

How to choose

  1. Which side are you on? Sending RFQs and receiving them need different tools.
  2. Does it match to your catalog? For sellers, extraction alone still leaves the SKU lookup to your team.
  3. Can you see why a match was made? Scores without evidence can’t be checked quickly.
  4. Does it fit your ERP as it is? A clean export beats a long integration project to start.
  5. Can you test it on real documents? Your own RFQs reveal problems that demos hide.
